CASE STUDY
All case studiesFrom Triple Data Entry to Connected Field Operations
How a field-service business automated client records, weekly reporting, field photos and job folders—without replacing the systems its team already used.

01THE CHALLENGE
Different systems. The same information entered again and again.
A field-service contractor relied on several different platforms to manage customers, projects, reporting and internal documents. Each system served a purpose. The problem was everything happening between them.
The business relied on a job-management platform, a separate CRM, a contact directory and a shared document-storage system. Routine tasks still depended on people transferring information between them.
Client information was entered three times. When a new enquiry arrived by phone, email or website form, the administration team had to create the same customer record in three different systems. Changes also had to be updated separately, otherwise the systems could contain different versions of the same information.
Weekly client reporting consumed administrative time. Raw project-progress information had to be reviewed, outdated entries removed, projects grouped by client, individual updates formatted and separate emails prepared. This routine consumed an estimated one to two hours each week.
Field photos required a second person to organize them. Team members captured photos while working on-site and shared them through a group-messaging channel. Office staff then downloaded the images and uploaded them to the appropriate customer folders.
Every new job required manual folder setup. Someone had to locate the correct division, create or find the customer folder, copy standard project templates and organize the new job's documents.
None of these problems required replacing the company's software. The opportunity was to remove the repetitive work connecting its existing systems.
02WHAT WE BUILT
Four automations designed around the way the business actually works.
Rather than introducing another major platform, we connected the existing tools and developed focused workflows for the tasks that repeatedly consumed staff time.
A centralized client-data workflow processes new enquiries and customer updates. It screens website submissions for unwanted enquiries, checks for matching records, creates or updates the connected contact, CRM and job-management records, and uses the enquiry description to create corresponding job tasks.
An automated reporting workflow extracts relevant progress information, removes outdated entries, groups jobs by client and prepares individual email reports covering pending work, jobs in progress, scheduled work and assigned team members. The administrator still reviews and sends the emails.
A lightweight browser-based field-photo application works on phones and desktops. Field staff select a customer, attach photos and submit them; the automation locates the correct customer directory, creates a photo folder if needed, stores the images and shares links with the internal team.
An automatic job-folder workflow prepares the required document structure when approved work moves into its active stage. It checks the correct division and customer folders, creates missing structures or templates and notifies an administrator with a direct link.
03HOW IT WORKS
Four independent workflows. One more connected operation.
These automations address different parts of the business. Each runs when its relevant business event occurs, while keeping human review where it adds value.
- 01
Client Capture & Synchronization
An enquiry or administrative entry is received, validated and matched or created before connected systems are updated and relevant job tasks are generated.
- 02
Weekly Reporting
Raw job-progress information is extracted and filtered, projects are grouped by customer and formatted client reports are prepared for an administrator to review and send.
- 03
Field Photo Management
A field team member selects a customer and uploads photos; the workflow locates the correct folder, stores the images automatically and shares links with the internal team.
- 04
Job Document Setup
When a job reaches its approved active stage, the workflow checks customer and division folders, creates or completes the necessary templates and sends the administrator a folder link.
04THE IMPACT
Less administration between the tools the business already uses.
The implementation improved several everyday processes rather than focusing on one isolated task.
Client information entered once
New customer information no longer needs to be manually re-entered across three separate platforms. Connected records are created or updated through the centralized workflow.
Reporting preparation reduced
The reporting workflow removes an estimated one to two hours of weekly filtering and formatting work. The administrator continues to review and send the reports.
Field photos organized without an office handoff
Team members can upload images directly to the correct customer folders through the purpose-built application, without relying on office staff to download and file each batch.
Job folders created automatically
Newly approved work triggers the appropriate folder setup, with existing structures checked and missing templates added.
More consistent information across operations
Customer details, job records, progress reports and supporting documents move through clearer, more repeatable processes.
- Estimated annual reporting preparation
- 50–100 hours/year
- Estimate. Annualized from an estimated 1–2 hours of weekly report preparation, assuming similar weekly reporting demand throughout the year.
05KEY TAKEAWAYS
The most valuable automation opportunities often sit between departments.
- 01
Map the work before selecting the automation
Mapping how information moved through operations revealed several connected opportunities beyond the initial list of manual tasks.
- 02
One reliable entry point reduces repeated work
Connecting the systems creates a more dependable source of customer information and reduces inconsistency when records change.
- 03
Build automation around real operational behavior
The field-photo workflow required a simple application because the existing communication tools could not support the complete process.
- 04
Keep human oversight where it matters
Automatically preparing client reports removes repetitive work without removing the administrator's final review.
06NEXT STEP
How much time does your team lose moving information between systems?
If your business uses separate platforms for customers, jobs, reporting and documents, repetitive manual work may be hiding between those tools. We help businesses identify where those handoffs happen and implement automation that fits their existing operations. From CRM synchronization and reporting to field workflows and document management, the goal is simple: fewer repetitive tasks, more consistent processes and less administration.
